Summary
The Administrative Assistant provides administrative and operational support across multiple departments, ensuring efficient day-to-day business operations. This role is responsible for coordinating meetings and travel, managing office supplies, processing expenses, and assisting employees with various administrative needs. The position also supports the Merchandising, Photoshoot, and Marketing teams through sample management, shipping and receiving, auction coordination, and inventory organization. The ideal candidate is highly organized, detail-oriented, and capable of managing multiple priorities in a fast-paced environment.
Essential Duties and Responsibilities include the following. Other tasks may be assigned.
• Organize, schedule, and coordinate business meetings and travel arrangements.
• Submit and reconcile expense reports and company credit card statements.
• Communicate with executives, managers, and employees to assist with various requests and administrative needs.
• Order office and breakroom supplies while sourcing cost-effective options and maintaining inventory levels.
• Assist the Merchandising and Photoshoot teams with sample management and mail distribution, including:
- Opening and processing incoming packages.
- Distributing fabric swatches to the appropriate buyers.
- Organizing samples by category and stage (first sample, pre-production sample, photo sample, etc.).
- Preparing and shipping packages to vendors.
- Maintaining organization of merchandising areas and collection racks.
• Assist the Marketing department with various tasks such as:
- Coordinate the transportation of returned graphic samples from the fulfillment center to the Nashville office for live auctions.
- Collect sample and auction items from the Merchandising and Photoshoot teams and organize them by size and category.
- Assist with the packing, shipping, and tracking of auction items to ensure accurate and timely delivery.
- Monitor outgoing shipments and coordinate carrier pickups as needed.
- Support the Content and Live Sales teams by pulling, organizing, and returning merchandise to collection racks.
- Maintain organization and inventory accuracy for samples, auction items, and collection racks.
• Provide general administrative support for visitors and guests.
Skills and Qualifications
- Knowledge of office management systems and administrative procedures.
- Proficiency in Microsoft Office, including Excel and Teams.
- Excellent time management skills with the ability to prioritize multiple tasks effectively.
- Strong attention to detail and problem-solving abilities.
- Excellent written and verbal communication skills.
- Strong organizational skills with the ability to multitask in a fast-paced environment.
Education and Experience
- High School Diploma or equivalent required.
- Current college student pursuing an Associate's or Bachelor's Degree preferred.
- Previous administrative experience in an office environment preferred but not required.
- Positive attitude with a willingness to learn, grow, and take on new responsibilities.
- Strong collaboration skills with a flexible, team-oriented approach and willingness to assist others as needed.
This part-time position offers $15.00 per hour and approximately 20–25 hours per week, providing a flexible opportunity for a college student seeking hands-on professional experience.
