The Assistant Buyer is an entry-level merchandising role that supports the execution of the business from market through the full product lifecycle. This position is responsible for maintaining the accuracy, organization, and operational execution of the buying process while partnering closely with Buyers, Planning, Buying Operations, and Store teams. The role provides foundational experience in merchandising, vendor management, inventory execution, and business analysis.
JOB FUNCTIONS (includes but is not limited to):
Purchase Order & Vendor Management
- Enter and maintain purchase orders throughout the product lifecycle, including revisions, cancellations, pricing, delivery updates, and system accuracy.
- Audit vendor order confirmations against approved buys, identifying discrepancies in style, color, size, quantity, cost, delivery dates, and payment terms.
- Serve as an operational point of contact for routine vendor communication regarding order status, pricing, shipping, and payment terms.
- Collect, organize, and maintain seasonal product assets, purchase order imagery, and vendor documentation within designated company systems.
Reporting & Market Preparation
- Prepare and distribute weekly selling reports for assigned department groups.
- Prepare market reports, category boards, and supporting materials for seasonal market appointments and assortment reviews.
- Coordinate market schedules and vendor appointments.
Inventory & In-Season Execution
- Assist with the execution of approved reorders, transfers, returns, markdowns, and other inventory actions.
- Maintain markdown documents and execute pricing changes as directed by the Buyer.
- Coordinate return authorizations and partner with Buying Operations to resolve damaged merchandise and vendor claims.
- Partner with Planning, Visual Merchandising, Store Operations, and Distribution to ensure timely execution of inventory initiatives.
Team Operations
- Support recurring buying team meetings through agenda preparation, reporting, meeting recaps, and action item tracking.
- Maintain calendars, reporting schedules, deadlines, and organizational tools that support the buying team's workflow.
- Identify opportunities to improve processes, organization, accuracy, and operational efficiency.
- Perform additional merchandising and administrative responsibilities as assigned.
QUALIFICATIONS:
- Computer proficiency (strong Excel skills, email, and Microsoft applications)
- Excellent communication, organization, and problem-solving skills
- Detail-oriented with the ability to multitask
- Ability to prioritize and adapt in a fast-paced environment
- Prior retail experience preferred (i.e., buying internship or store-level experience)
