Events Assistant – Job Description

The Events assistant  role is a unique opportunity to dive into the world of event management, providing hands-on experience that is both rewarding and educational. A day in the life of an Events Assistant:

As an Events Assistant, you will be an integral part of the COPS events team, contributing to a variety of tasks ranging from client acquisition to overseeing the execution of events. Your responsibilities will include acting as point of contact for all client communication and inquiries, managing the event team inventory, coordinating onsite vendors and events team, and supporting with the overall event team operations. Your organizational skills will be honed as you assist with planning and managing events, while being mindful of time and financial limits. Client relations will also be a key part of your role, as you will help coordinate the finer details of event execution to deliver personalized experiences for our clients.

Duties and Responsibilities:

●     Assist with inventory checks to ensure all materials and supplies are accounted for.

●     Support the development of sales, marketing, and branding strategies.

●     Help conduct preliminary meetings with clients to understand their event needs, including budgetary and logistical details.

●     Aid in researching and selecting venues and vendors that fit event requirements, and assist in negotiating terms.

●     Maintain clear and proactive communication with clients throughout the planning stages of the event.

●     Support the management of events, including handling deposits, arranging equipment, and planning layouts and setups.

●     Be present at events to assist with format adherence, vendor coordination, and problem resolution to ensure client and participant satisfaction.
