The Role |

Reporting directly to the founder, this role combines executive support with office operations, creating a pivotal position within the business. You'll manage the day-to-day priorities of the Founder while overseeing office administration, facilities, events, supplier relationships and team coordination.

You'll naturally anticipate what's needed before being asked, confidently juggle competing priorities, and take ownership of creating efficient processes that enable the wider team to perform at their best.

Executive Support

  • Provide high-level diary and calendar management for the Founder, managing competing priorities and scheduling.
  • Coordinate domestic and international travel including flights, accommodation, itineraries and expenses.
  • Prepare meeting agendas, presentations, reports and board documentation where required.
  • Manage confidential correspondence and act as a trusted gatekeeper.
  • Coordinate internal and external meetings, ensuring the Founder is well prepared.
  • Assist with project coordination, follow-up actions and business initiatives.
  • Screen and prioritise emails, phone calls and requests.

Office Management

  • Oversee the day-to-day running of the office, ensuring a professional, welcoming and efficient workplace.
  • Manage office suppliers, equipment, stationery, kitchen supplies and facilities.
  • Coordinate office maintenance, contractors and building management.
  • Manage office budgets and monitor operational expenditure.
  • Develop and improve office processes and administrative systems.
  • Support onboarding of new employees including workstation setup, office inductions and welcome packs.
  • Coordinate company policies, documentation and internal communications.

Team & Culture

  • Organise company events, celebrations, off-sites and team functions.
  • Support employee engagement initiatives and help foster a positive workplace culture.
  • Assist leadership with company-wide communications.
  • Coordinate staff travel and accommodation where required.
  • Be the go-to person for day-to-day office enquiries and team support.
  • Assist with special projects and cross-functional business initiatives.
  • Support finance with purchase orders, invoices, expense reconciliation and supplier administration.
  • Maintain company records, contracts and key business documentation.
  • Liaise with external stakeholders, clients and suppliers on behalf of the Founder.
  • Identify opportunities to improve operational efficiency and implement better ways of working.

We're looking for someone who enjoys being at the centre of a busy business and genuinely loves making things happen.

  • Previous experience as an Executive Assistant, Office Manager or Operations Coordinator supporting senior leadership or founders from within a fashion or retail environment
  • Exceptional organisational and time management skills with the ability to manage multiple priorities.
  • Outstanding written and verbal communication skills.
  • High levels of discretion and professionalism when handling confidential information.
  • Strong problem-solving ability and a proactive, solutions-focused mindset.
  • Experience managing office operations, suppliers and facilities.
  • Confidence coordinating travel, meetings, events and business administration.
  • Strong Microsoft Office Suite and Google Workspace capability.
  • Experience with expense management and basic finance administration is highly regarded.
  • A naturally adaptable, hands-on approach with a willingness to jump in wherever needed.
  • A positive, approachable personality with a genuine passion for creating a great workplace experience.
