Role Description The Executive Assistant to the Creative Director/CEO is a full-time, on-site role based in Irvine, CA. This role provides comprehensive executive-level administrative support, including managing calendars, scheduling meetings, coordinating travel, and preparing expense reports. The Executive Assistant will handle daily correspondence, organize documents and presentations, and ensure the Creative Director/CEO is prepared for internal and external meetings. Responsibilities also include facilitating communication across teams and external partners, tracking project timelines, and supporting event and production logistics. The role requires close, proactive collaboration with the Creative Director/CEO to prioritize tasks, maintain organization, and uphold a high standard of professionalism in all interactions.
Qualifications

  • Candidates should possess strong Executive Administrative Assistance and Executive Support skills, including calendar management, meeting coordination, and task prioritization.
  • Candidates should possess solid Administrative Assistance skills, such as document organization, record-keeping, and basic office coordination.
  • Candidates should possess experience preparing and tracking Expense Reports and supporting budget-related documentation.
  • Candidates should possess excellent Communication skills, including clear written and verbal communication and professional client-facing etiquette.
  • Relevant qualifications include prior support experience with senior leadership or creative executives, strong attention to detail, and the ability to work in a fast-paced, highly creative environment.
  • Additional beneficial qualifications include proficiency with office and collaboration tools (e.g., Google Workspace or Microsoft Office), experience in creative industries, and the ability to handle confidential information with discretion.
