A fast-paced, full-service global marketing firm specializing in influencer and experiential campaigns is seeking a personable, hyper-organized Executive Assistant to support the Managing Partner. This individual must have at least 3 years of EA experience and a passion for pop culture and entertainment. The role offers an exciting opportunity to support both business operations and creative projects while contributing to a collaborative, growing team. The founder is also heavily involved in philanthropy.
The ideal candidate thrives under pressure, juggles multiple responsibilities with ease, and brings strong administrative skills, a proactive mindset, and genuine enthusiasm for entertainment and lifestyle brands. MUST always be extremely detailed, double checking EVERY piece information throughly.
Key Responsibilities:
Manage heavy scheduling, meetings, calls, appointments, and calendar coordination
Book and coordinate complex travel; prepare detailed itineraries and expense reports
Provide administrative, client-facing, and occasional personal support
Assist with events and special projects: update client status reports, track RSVPs and social placements, create face sheets, and organize digital wrap reports
Maintain and update all event and project case studies and pitch materials
Support in creating presentations and decks for internal and external meetings
Stay informed on entertainment industry trends, brand activations, and talent news
Qualifications:
Minimum 3 years of experience as an Executive Assistant, preferably in marketing, events, or entertainment. IDEALLY off an agency desk!!!!
Strong organizational and multitasking abilities with exceptional attention to detail
Proactive decision-maker with excellent problem-solving skills
Professional communicator—written and verbal—with polished grammar and structure
Able to manage shifting priorities and work efficiently in a high-volume environment
Tech-savvy: proficient in Google Suite, Microsoft Office, Canva, Adobe Illustrator, and Photoshop
Team-oriented, collaborative, and adaptable
Bonus: Experience supporting a founder or senior-level executive and familiarity with the entertainment, fashion, or influencer space is preferred. MUST be super detailed and proactive
