About Common Suits
Common Suits is a Singapore-founded bespoke tailoring house specialising in premium custom menswear.
Founded in Singapore in 2014, our Singapore headquarters remains the heart of the business, bringing our client experience and in-house tailoring workshop under one roof.
Since then, Common Suits has expanded regionally, establishing a presence in the Philippines, Thailand and Indonesia, while continuing to grow our international reach.
We regularly conduct overseas trunk shows, including in Europe, and are actively exploring opportunities to expand into new international markets.
As the business enters its next stage of growth, we are looking for a Founder’s Associate to work directly alongside the Founder across business operations, systems, people, content and international expansion.
This is an opportunity to join the company at an interesting stage: established enough to have real operations, teams and regional presence, but entrepreneurial enough that there is still a great deal to build.
The person joining us will not simply maintain existing processes. You will help us improve how the company operates and build the systems required for our next stage of growth.
The Role
This is not a traditional Executive Assistant role.
You will work closely with the Founder and act as an operational extension of him — turning ideas, discussions and problems into actions, systems and completed outcomes.
In a single week, you might troubleshoot an operational issue with our production team, improve an internal workflow, coordinate recruitment, follow up on an important project, film and edit content from a client fitting, research an AI tool, or prepare for an overseas business trip.
The objective is simple:
Help the Founder and the company operate better.
We are looking for someone who does not stop at:
“I’ve informed the person.”
We want someone who thinks:
“How do I make sure this gets resolved?”
And when the same problem happens repeatedly:
“Why does this keep happening, and how do we improve the system so it doesn’t happen again?”
What You’ll Do
1. Founder Support & Project Execution
Work directly with the Founder across key priorities, projects and initiatives.
You will:
* Translate discussions and ideas into clear action items, owners and deadlines.
* Follow up relentlessly until important matters are actually completed.
* Coordinate meetings, projects, appointments and priorities where required.
* Conduct research and present information clearly to support decision-making.
* Attend relevant meetings, capture key decisions and ensure follow-through.
* Anticipate what is likely to be needed rather than waiting to be instructed at every step.
* Handle confidential company, client and personal information with discretion.
* Take ownership of miscellaneous problems and special projects that naturally arise when working alongside a Founder.
Your job is not simply to help manage the Founder’s workload. Your job is to increase what the Founder and the company are capable of accomplishing.
2. Business Operations & Troubleshooting
Develop a strong understanding of how Common Suits operates across sales, customer experience, production, administration and management.
You will:
* Identify operational bottlenecks and recurring problems.
* Coordinate between departments to resolve issues.
* Follow up on deadlines, deliverables and outstanding matters.
* Improve accountability and visibility across ongoing projects.
* Help ensure information is accurately communicated between teams.
* Step into unfamiliar problems, understand them quickly and determine what needs to happen next.
* Look beyond the immediate problem to understand its root cause.
We value people who bring solutions and options, not just problems.
Instead of:
“What should I do?”
We would much rather hear:
“I looked into it. There are three ways we could approach this. I recommend option B because…”
3. Systems, SOPs, Workflow & AI
This is a major part of the role.
As Common Suits grows, we want to become increasingly systematic, efficient and data-driven without losing the craftsmanship and personal service at the heart of the business.
You will:
* Review existing business processes and identify inefficiencies, bottlenecks and communication gaps.
* Build and continuously improve SOPs, checklists, templates and workflows.
* Improve handovers between sales, customer service, production, operations and management.
* Turn recurring knowledge and processes into documented systems rather than leaving important information in people’s heads.
* Develop better reporting, trackers and dashboards to improve accountability and management visibility.
* Identify repetitive administrative work that can be simplified or automated.
* Explore and implement practical uses of ChatGPT, Claude, Notion, Zapier, Make and other AI/automation tools.
* Use AI to improve areas such as documentation, meeting follow-ups, internal communication, research, reporting and workflow management.
* Help create a central operating knowledge base for the company.
* Train team members on new processes and ensure new systems are actually adopted.
* Assess whether new processes are genuinely improving speed, accuracy and accountability.
You do not need to be a programmer.
But you should be technologically curious and naturally interested in asking:
“Is there a smarter way to do this?”
4. Social Media & Content
Common Suits has a highly visual business, and content is an important part of how we communicate our craft, people and story.
You will frequently work alongside the Founder to capture:
* Client fittings.
* Tailoring craftsmanship.
* Behind-the-scenes production.
* Events and collaborations.
* Overseas trips and trunk shows.
* Founder-led content.
* Interesting everyday moments within the company.
You should be comfortable:
* Filming with a smartphone and/or camera.
* Identifying moments that could become interesting content.
* Editing short-form videos for Instagram, TikTok and </st
rong>小红书.
* Creating simple, polished content quickly.
* Organising footage and maintaining a consistent content pipeline.
* Supporting content planning and execution.
You do not need to be a professional cinematographer, but good visual judgement and basic video-editing capability are important.
5. HR & Team Coordination
Support the Founder and management team across people-related matters.
This may include:
* Recruitment and candidate coordination.
* Onboarding new employees.
* Manpower planning.
* Attendance and administrative follow-up.
* Internal communication.
* Helping define responsibilities and accountability.
* Coordinating between team members when projects cross departments.
* Supporting the development and documentation of internal policies and processes.
You do not need to be an HR specialist.
You do need to be organised, discreet, fair and capable of following things through.
6. International Travel & Expansion
Common Suits is headquartered in Singapore with a growing regional and international presence.
There will be opportunities to travel with the Founder, including to Italy, China and other markets as the company continues its international expansion.
You may be involved in:
* International trunk shows.
* Supplier and fabric mill visits.
* Industry events.
* Meetings with international partners.
* Market-development projects.
* Overseas client engagements.
* Content creation during trips.
Your role is to maximise the productivity of the Founder during the trips.
You will help make each trip productive — coordinating logistics and meetings, preparing information, capturing social media content, documenting decisions, following up on opportunities and helping turn international relationships into concrete business outcomes.
Who We’re Looking For
Your previous job title matters less to us than how you think and operate.

Approximately 2–5 years of relevant working experience would be useful, although exceptional candidates outside this range are welcome to apply.

You will have access to confidential company, employee, client and occasionally personal information. Trust is fundamental to this position.
Comfortable with ambiguity
Not every problem will arrive with a job description, SOP or step-by-step instructions. Sometimes part of your job is creating those systems.
Strong written and spoken English is essential.
Ability to communicate in Mandarin is a significant advantage, particularly given our work and expansion in China.

There will be demanding periods, especially around events, international travel and major projects.
In return, there will be significant autonomy, exposure and opportunity to grow.

This is not intended to remain an “assistant” position indefinitely.
As your judgement, capability and understanding of the business develop, we want you to take ownership of increasingly important areas.
A possible progression could be:
Founder’s Associate → Business Operations Manager → Chief of Staff / Head of Operations
For someone who eventually wants to run a business, lead operations or build something of their own, this role offers the opportunity to learn by being directly involved in building one.
