Overview

The Investment & Activation Executive is responsible for bringing the implementation plan to life across all offline and direct online media buying. The role is also to support the Manager with data and insights for planning and media activation tasks.

Five key deliverables of this role:

  1. Execute the activation of campaigns as per the implementation plan to meet planned objectives.
  2. Leads the management of live campaigns to ensure the campaign activation is on track and performance is optimised and responsible for the reporting and post analysis outputs.
  3. Assist Investment Manager and Investment Director in compiling all client and internal reporting
  4. Have a full understanding of commercial products and be able to confidently brief the APEX team, responsible for ensuring all coding is correct for billing.
  5. Support the development of Co-ordinators by providing basic on-the-job training on all industry tools and reporting.

Responsibilities

Media Planning

Learn and assist the team across media planning including:

  • Sourcing planning rates
  • Brief and analyze basic campaigns
  • Create and update media plans

Campaign Activation Tasks

Campaign Execution:

  • Activate campaign execution by placing booking orders with media partners according to the approved media plan – 3 hours per week
  • Check all details including media partner, formats, dates, and costs are correctly booked – 2 hours per week
  • Ensure all booking confirmation, booking contracts are recorded in share drives – 1 hour per week
  • Action any change to media bookings promptly and accurately – 1 hour per week
  • Record changes and ensure all team members are up to date with latest status – 1 hour per week

Track and optimize Campaigns

  • Leads the management of live campaigns to ensure pacing is on track and performance is optimized – 4 hours per week
  • Continually monitor and optimize campaigns to deliver on set goals and KPIs – 3 hours a day
  • Negotiate makegoods or compensation if campaign is not delivering to planned targets – 1 hour
  • Adhere to all compliance, agency best practice

Material Instructions and specs

  • Responsible for ensuring MI and specs are aligned with media plan – 1-2 hours per week

Campaign data entry

  • Responsible for ensuring that all booking confirmations have been checked, loaded and coded correctly in SMD two days after booking – 2 hours per week
  • Ensures all campaigns are reconciled through to media plan to reflect actual activity, monthly after invoicing 3-4 hours

Reporting and Analytics

  • Responsible for the completion of the following reports

a. All data in post reports – 1 hour weekly

b. Pacing reports and insights – 1 – 1.5 hours weekly

c. Quarterly value trackers – 4-5 hours

  • Run monthly competitive reports in Fusion and fill in competitive report with clear and actionable insights – 3 hours monthly
  • Ensure accurate and timely completion of auditing reports with support from Coordinators

Finance Management

Monthly Invoicing

Responsible for the preparation of billing across the client patch, with the support of the coordinator. – 3-4 hours monthly

  1. Ensuring the correct PO#s are applied and all documentation is saved
  2. Ensures that all holdings checks are completed by coordinators and that account queries are answered.
  3. Responsible for checking correct coding for invoicing and commercial tracking
  4. Complete budget reconciliation for Manager’s approval
  5. Complete other finance reports such as invoice summary, pre-bill tracker for Manager’s approval
