Mama Mate is looking for a detail-obsessed, proactive Operations & E-commerce Coordinator to help manage the "behind-the-scenes" heartbeat of our brand. You will be responsible for ensuring our online store is seamless, our supply chain is steady, and our administrative tasks are organized.
This is the perfect role for someone who loves spreadsheets, thrives on organization, and wants to see a small business scale from the inside out.
Role Description
This is a part-time, on-site role as an Operations & E-commerce Coordinator located in Sofia.
Key Responsibilities
1. E-commerce & Website Management
Maintain the Mama Mate storefront (Shopify/Squarespace/etc.).
Upload new product listings (copywriting, imagery, and variant setups).
Real-time inventory management to ensure stock levels are accurate.
Update homepage banners, landing pages, and promotional links for launches or sales.
2. Procurement & Supply Chain Support
Monitor raw material inventory including fabric, thread, elastic, tags, and mailing packaging.
Anticipate shortages and place orders with suppliers to ensure production stays on schedule.
Research and reach out to new suppliers for quotes and lead times.
Track incoming shipments and resolve any logistics delays.
3. Financial Admin & Data Management
Organize and file invoices from suppliers and contractors.
Track day-to-day business expenses to ensure we are "tax-ready" at all times.
Maintain the "Master Spreadsheet" including Cost of Goods Sold (COGS), profit margins, and stock value.
Ensure all external vendors and contractors are paid accurately and on time.
Qualifications & Skills
Tech Savvy: Experience with e-commerce platforms (Shopify preferred) and basic design tools (Canva) is a plus.
Spreadsheet Wizard: You should be comfortable in Google Sheets/Excel (formulas, formatting, and data entry).
High Attention to Detail: You’re the type of person who notices a typo from a mile away and gets a "win" from an organized inbox.
Proactive Problem Solver: You don’t just report a problem; you bring three potential solutions to the table.
Passion for the Brand: An interest in the motherhood/lifestyle/sustainable fashion space is a huge bonus!
