Mission
To provide professional administrative support to Managing Director of Fendi Korea and act as bridge for enhancing internal and external communication. This job also contributes to company success through providing general office management.
Main Responsibilities:
Secretarial Support
Perform professional administrative and secretarial support to Managing Director with excellence and facilitate communication between Korea and Fendi HQ.
Proactively manage Managing Director’s outlook calendar as day-to-day basis; arrange internal/external meetings, appointments, store visit by leveraging MD’s available timeslots. Identify & troubleshoot schedule conflicts and suggest best suggestions
Perform professional support for MD’s business presentation files and reports
Establish relationships with Fendi other markets and HQ counterparts to ensure calendar alignment. Partner with Fendi HQ in organizing company functions/events logistics
Organization of business meeting, preparation of meeting agenda & minutes and other logistic arrangement, e.g. meeting venue arrangement, ensure proper IT set up
Arrange MD’s business trip including itinerary setup, flight/hotel reservation, visa issuance, and transportation reservation
Support for HQ & other BU (business unit)’s executive visits by providing itinerary, logistics
Prepare & submit MD’s business trip request & T&E reports for approval.
Prepare correspondence, memorandum and confidential documents
Communicate with internal departments heads to consolidate information
Handle/screen incoming calls; Act as a professional and knowledgeable representative of company
Ad Hoc assignment by Managing Director.
Office Operations & General Affairs
To consolidate and distribute Fax and mail, frequently check and clear the server fax folder
To handle domestic and overseas mail (including courier arrangement)
To order office supplies including stationery, business card, first aid supplies, etc.
Tidiness and cleanliness of meeting room/canteen
Update contact lists, public holidays lists by communicating with local/FAP offices
Update emergency contact list/evacuation map
Administration of Access Facility (Entrance card management for joiners/leavers)
Arrangement flower delivery for condolences/congratulations
To support office gathering or event
Cleaning, Air-conditioning and relevant maintenance with vendors and landlord
Pantry supplies (coffee, tea, relevant purchasing)
Copier and Fax Machine maintenance
HR Support
Handle task needed under HR Director’s guideline
Support the interview schedule arrangement with Candidates
Support the On boarding & Off boarding process
Coordinate the company events
Other Human Resources ad-hoc issue
Required Skills
Bachelor’s degree required.
Minimum 1~2 years or above relevant experience in business administration, prefer in luxury fashion brand experience.
Highly organized with strong time management, task prioritization & follow-up skills in a multi-faceted and fast-paced setting
Strong attention in detail & accuracy
Strong Responsibility
Ability to maintain high level of business confidentiality.
Collaborative, professional & self-driven
International Mindset and general knowledge in fashion industry
Excellent communication skills, English communication proficiency
Highly Proficient in Microsoft Outlook, MS Office especially MS Excel and Power Point
