Our client – is a prestigious luxury retail group and they are looking for a personal assistant to provide comprehensive support to their Managing Director. Your primary responsibility will be to provide personalised and confidential assistance to the General Manager, managing their schedule, coordinating meetings, and handling various administrative tasks.

Job Description

Executive Support: Provide comprehensive administrative support to the executives, including managing calendars, scheduling appointments, and coordinating meetings and conference calls. Handle all correspondence, prioritise emails, and prepare necessary documents and presentations.

Travel Coordination: Arrange complex travel itineraries, including flights, accommodations, transportation, and visas. Ensure all travel arrangements are efficient, cost-effective, and align with the executives’ preferences and schedules.

Meeting Management: Assist in organising and coordinating internal and external meetings, including preparing agendas, gathering relevant materials, and taking minutes when required. Follow up on action items and deadlines to ensure timely completion.

Confidentiality and Discretion: Maintain a high level of confidentiality and professionalism when handling sensitive information, both internally and externally. Exercise discretion when managing confidential correspondence, documents, and discussions

Job Qualifications

Bachelor’s degree in business administration, Communications, or a related field. Additional certifications in executive assistance or office management are advantageous.

Proven experience as a Personal Assistant or Executive Assistant, preferably within the luxury retail or fashion industry.

Excellent organisational and time management skills, with the ability to prioritise tasks and work independently in a fast-PACED environment.

Strong communication skills, both written and verbal, with the ability to interact professionally with individuals at all levels

Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with calendar management and virtual meeting platforms.

Exceptional attention to detail and accuracy, with a proactive approach to problem-solving.
