Position Summary

The Production Assistant / Coordinator is responsible for supporting the execution of the production process from purchase order placement through final delivery. Working closely with Product Development, Design, Sales, Sourcing, Quality Assurance, Logistics, and overseas manufacturing partners, this role ensures production milestones are met, product quality standards are maintained, and customer delivery dates are achieved. The ideal candidate is highly organized, detail-oriented, and thrives in a fast-paced fashion manufacturing environment with the ability to manage multiple production calendars simultaneously.

Key Responsibilities

  • Coordinate production activities from order placement through final shipment.
  • Monitor production timelines to ensure all milestones are completed on schedule.
  • Issue and maintain purchase orders, production trackers, and delivery schedules.
  • Communicate daily with overseas factories, vendors, and sourcing partners regarding production status, capacity, shipment dates, and issue resolution.
  • Track and follow up on development samples, pre-production samples (PPS), TOP samples, and bulk production approvals.
  • Review production reports and identify potential delays, escalating issues and recommending solutions to minimize business impact.
  • Partner with Product Development and Design teams to ensure accurate specifications, BOMs, artwork, and technical packages are released to factories.
  • Coordinate with Quality Assurance to schedule inspections and ensure products meet customer quality standards and compliance requirements.
  • Work closely with Logistics and Supply Chain teams to coordinate shipping schedules, documentation, and on-time deliveries.
  • Maintain accurate production records, WIP (Work in Process) reports, and ERP/PLM system data.
  • Assist in inventory monitoring, production planning, and capacity management as needed.
  • Support continuous improvement initiatives to streamline production processes and improve operational efficiency.

Qualifications

  • Bachelor’s degree in Fashion Merchandising, Supply Chain Management, Business, Apparel Production, or a related field preferred.
  • 2+ years of production coordination, sourcing, or supply chain experience in the apparel, accessories, or fashion manufacturing industry.
  • Experience working with overseas factories and global supply chains.
  • Strong understanding of apparel manufacturing processes, production timelines, quality control, and shipping procedures.
  • Proficiency in Microsoft Excel, Outlook, and Microsoft Office Suite.
  • Experience with ERP, PLM, or production management systems preferred.
  • Excellent organizational and project management skills with the ability to prioritize multiple deadlines.
  • Strong verbal and written communication skills.
  • Detail-oriented with excellent follow-up and problem-solving abilities.
  • Ability to work independently while collaborating effectively across cross-functional teams.

Preferred Qualifications

  • Experience supporting private label or licensed retail programs.
  • Knowledge of production planning, vendor management, and factory allocation.
  • Familiarity with import/export documentation and international logistics.
  • Experience working with apparel, socks, hosiery, accessories, or knit products.
  • Understanding of retailer compliance requirements and quality standards.
