Quickly Bonds is a rapidly growing luxury company that helps High-net-worth Individuals with all their fashion needs. We are looking for an experienced Sales Travel Planner & Coordinator to manage the end-to-end planning and coordination of our international sales trips.
Our sellers travel several times per month across Europe, Brazil and the Middle East, meeting clients and delivering a highly personalised service. This role will be responsible for making those trips as efficient, organised and commercially successful as possible.
You will be responsible for deciding where our team should go, building optimal routes, coordinating schedules, managing travel logistics and preparing alternative plans when circumstances change
ROLE DESCRIPTION:
The Sales Travel Planner and Coordinator is a full-time, on-site role based in Porto. This position is responsible for planning and coordinating travel arrangements related to sales activities, including client visits, shopping trips, and international sales events. The role involves organizing itineraries, booking transportation and accommodations, managing schedules, and ensuring that all travel plans align with sales objectives and client expectations. Day-to-day tasks include liaising with sales teams and partners, monitoring budgets, preparing travel documentation, and providing timely updates and reports. The coordinator also supports the optimization of travel plans to enhance client satisfaction and sales performance, while maintaining accurate records and complying with internal policies and procedures.
KEY RESPONSIBILITIES:
- Plan international sales trips from beginning to end.
- Determine the most efficient and cost-effective destinations, routes and travel sequences.
- Maintain highly professional one-to-one communication with high-net-worth individuals.
- Inform clients when our sellers arrive in their city and coordinate meeting timings throughout the trip.
- Manage flights, hotels, car rentals and other transportation.
- Monitor football match schedules, player availability and other relevant calendar constraints.
- Build detailed agendas and itineraries for each seller.
- Prepare backup plans for cancellations, changes or unexpected situations.
- Identify alternative client opportunities when gaps appear in a trip.
- Manage any travel-related documentation required.
- Continuously optimise trips with the objective of improving efficiency, controlling costs and maximising sales opportunities.
- Introduce new tools, systems and processes that improve the way Quickly Bonds plans and manages international travel.
- Work directly with the company’s partners in a fast-growing and highly dynamic environment.
YOUR PROFILE:
- Extremely organised and solution-oriented.
- Able to manage multiple moving parts simultaneously, whilst taking decisions.
- Commercially minded and capable of understanding how travel decisions impact sales.
- Comfortable working independently and taking ownership.
- Highly professional and discreet when dealing with clients.
- Naturally interested in travel, logistics and/or football.
- Comfortable working in a fast-paced, constantly evolving environment.
REQUIREMENTS:
- 3+ years of experience in a relevant field.
- Previous experience in corporate travel, travel planning or a closely related area.
- Professional fluency in English.
- Strong organisational and communication skills.
- Experience managing complex itineraries and last-minute changes.
- Strong digital skills and willingness to introduce new tools and processes.
- Nice to have: Spanish and/or German language skills.
