We are looking for an organised and detail-oriented Samples Coordinator to work at our London office. The candidate will be focused and driven and will assist with the overall sample coordination, from headquarters dispatchment tracking to post-photoshoot packing and storing processes.

Responsibilities:

Track delivery boxes, following its timeline from dispatch to delivery

Handle boxes, unpack and hang samples

Damage check

Check-in samples across multiple channels like product lists, briefs and sample management software

Report missing items, delivery delays, damages or discrepancies to the relevant stakeholders

Keep track of samples incoming and outgoing or being moved from its original location

Pull samples from stored boxes when prompted, including last-minute requests

Assist in keeping styling wardrobe samples organised and its inventory up to date

Housekeeping of sample storage room and wardrobe

Assist with general studio duties

Communicate workflow status and concerns to the Styling Manager and relevant team members

Support Manager with, but not limited to, data tracking like volume of samples, shoots and styling purchases

Support the Styling Manager with administrative work, keeping all spreadsheets accurately filled and relevant data recorded

Ensure the photo studio is organised from previous photoshoots and ready to accommodate upcoming shoots

Requirements:

1+ year of experience in stockroom/sample inventory or similar role

Highly organised and efficient

Ability to prioritise in a fast-paced work environment

Excellent communication skills

Proactive and flexible with a can-do attitude

Strong task ownership and follow-up skills

Work well independently and as part of a larger team

Experience with Excel

Operational mindset
