Job Overview:

We are seeking an experienced Senior Production Coordinator to join our London team and support the end-to-end production process across ready-to-wear and accessories collections.

This role is responsible for ensuring product is delivered on time, on cost, and to the highest quality standards, while continuously improving systems and processes across Production. Working closely with Product Development, Design, Sales, Garment Technology, Logistics, and external manufacturing partners, you will take ownership of seasonal production planning, factory management, raw materials coordination, and finished goods delivery.

The ideal candidate will have strong experience within fashion production, excellent organisational and negotiation skills, and the ability to manage multiple workstreams in a fast-paced environment.

Key Responsibilities:

Seasonal Planning:

  • Attend regular meetings with Product Development to review raw materials and processes used in each new season.
  • Participate in seasonal handover meetings to ensure full readiness for Production launch.
  • Contribute to pre-sales pricing meetings, providing feedback on cost and feasibility.
  • Conduct analysis and capacity planning with management, review factory allocation assessing pricing, margins, and lead times to ensure they are workable.
  • Book production space at factories and raw material suppliers, and in advance of production orders.
  • Review bulk order quantities and advise on cancellations, margin implications, and production feasibility.
  • Maintain and update pricing in Zedonk to reflect bulk quantities and ensure accurate weighted margin calculations.
  • Establish and maintain detailed Critical Paths for all production styles.
  • Ensure all Calendar and Critical Path milestones are met across each season.

Factory Management:

  • Create and send factory FG dockets out, including any pre order information and negotiate initial delivery period.
  • Negotiate pricing and discounts with factories, particularly on large bulk quantities.
  • Distribute Critical Paths and BOMs to all manufacturing partners
  • Maintain weekly communication with factories, send out CP once a week, requesting replies, tracking progress and resolving queries.
  • Collaborate with management and manufacturers to resolve production challenges promptly to avoid delays.
  • Develop and nurture strong, long-term factory relationships.

Raw Materials:

  • Forecast and pre-order fabrics, greige, trims, and packaging based on sales projections.
  • Maintain a Raw Material Tracker and place purchase orders via Zedonk.
  • Negotiate bulk pricing with suppliers where applicable.
  • Monitor carry-over packaging and labelling supplies to ensure continuity.
  • Update Zedonk with accurate raw material and BOM costs to support weighted margin reporting.
  • Oversee quality approvals for bulk raw materials.
  • Coordinate direct shipment of raw materials and packaging to factories in line with Critical Path dates, ensuring cost-effective logistics.
  • Communicate amendments and updates with Product Development, Design, and Sales.
  • Create and manage care label wording, including French translations, and approve factory artwork.
  • Manage supplier invoices in line with agreed terms.

Product:

  • Attend SMS fittings and support sample evaluation.
  • Launch PP samples alongside Garment Technologist, prioritising based on lead times and Critical Path requirements.
  • Track and chase samples and size sets, updating teams on planned delivery dates via CP.
  • Review in-season fit or quality concerns with Garment Tech and management, supporting timely and commercial decision-making
  • Awareness of legislation on garment manufacturing- ie: care labelling, nickel directive. Implementation to ensure compliance.
  • Arrange finished goods shipments to warehouse, ensuring cost efficiency and adherence to seasonal calendars.
  • Update Zedonk with in-transits (ASNs) and communicate shipment details and packing lists to Warehouse and Logistics teams.
  • Resolve short shipments and discrepancies with factories promptly.
  • Circulate weekly delivery updates to relevant internal stakeholders during shipping windows.

Other:

  • Track and manage SMS and PP samples, ensuring timely return to Head Office when required.
  • Strive for continual process improvement within Production and across departments to support long-term business growth.
  • Maintain strong cross-functional communication to ensure alignment between Production, Design, Sales, and Logistics.

Qualifications & Experience:

  • Minimum 5 years experience in a Production or Production Coordination role within fashion/garment production industry.
  • Strong understanding of Critical Path management and seasonal production cycles.
  • Experience working directly with international factories and suppliers.
  • Proven ability to negotiate pricing and manage production margins.
  • Proficiency in Zedonk.
  • Advanced Microsoft Excel skills.
  • Strong knowledge of garment manufacturing legislation, including care labelling and compliance standards.
  • Excellent organisational skills with the ability to manage multiple deadlines simultaneously.
  • Strong communication and relationship management skills.
  • Detail-oriented with a proactive and solution-focused mindset.
  • Right to work in the UK.
