Summary:
Carhartt WIP is seeking a Supply Chain Administrator to support inbound and outbound logistics for our U.S. business. This role will coordinate shipments and inventory across 3PL and company-operated warehouse facilities, maintain accurate inventory and freight records, and support efficient, cost-effective movement of goods. This role is based in our New York office and will report to the Operations and Logistics Manager.
This will be a role heavy in data and reporting and will be a key link between our Finance and Logistics teams. The ideal candidate is organized, analytical, comfortable working across multiple systems and partners, and experienced in international freight and inventory operations.
Responsibilities:
- Coordinate inbound shipments with global shipping hubs, freight forwarders, 3PL partners, and warehouse teams.
- Monitor freight forwarder portals and maintain shipment calendars for all in-transit inventory.
- Track estimated arrival dates, delivery performance, and shipment exceptions; communicate delays and variances to relevant stakeholders.
- Maintain seasonal receiving reports, goods-in-transit reporting, and stock ledger accuracy.
- Review and process freight, import, warehousing, and carrier invoices; maintain freight cost logs and supporting documentation.
- Key liaison between Supply Chain and Finance departments to accurately track inventory, goods in transit, and 3-way match protocols.
- Serve as a day-to-day liaison with customs brokers and support import clearance processes.
- Maintain HTS code records to support accurate and efficient customs clearance.
- Conduct routine ERP audits to identify negative inventory, posting errors, transfer discrepancies, and other inventory issues.
- Manage ERP transfer orders and inventory fulfillments across retail, e-commerce, wholesale, and warehouse channels.
- Maintain quarterly inventory forecasts for 3PL partners.
- Support inventory accuracy and fulfillment performance in partnership with the Inventory and Compliance Specialist, Retail Operations Manager, warehouse teams, and 3PL partners.
- Manage multi-office UPS accounts and related shipping records.
Qualifications:
- 3 years of experience in logistics, supply chain, warehouse operations, or inventory management.
- Experience with 3PL partners, international freight forwarders, and customs brokers.
- Experience importing goods into the United States.
- Apparel, footwear, or fashion industry experience is preferred but not required.
- Familiarity with seasonal delivery calendars and apparel industry terminology is a plus.
- Comfort with finance-specific terminology and processes.
- Highly diligent with attention to detail and a high level of accuracy.
- ERP experience required; NetSuite experience is preferred.
- Advanced Excel skills, including VLOOKUPs, PivotTables, and macros.
- Strong organizational, communication, and problem-solving skills.
- Detail-oriented, resourceful, persistent, and able to manage multiple priorities.
Additional Information:
- Location: Full-time in our New York City office. Hybrid work schedule, mandated to be in the office Tuesday through Thursday.
- Reporting Structure: Direct report to the Operations and Logistics Manager.
- Compensation: $75K – $85K/year.
