VIP Assistant, West Coast, the Americas

Overview:The VIP Assistant will support the Communications team in all department operations and activities.

Responsibilities:

Support West Coast Communications team with all activities related to product placement

Assist in the fulfilment of sample requests from stylists

Communicate with stylist assistants to ensure prompt sample returns

Partner with Press Admin Intern, the NY Communications Office and other team members to coordinate, track & record all logistics for incoming and outgoing packages sent via messenger, shipment or mail.

Act as the main point of contact for sample inventory management – accept & process new shipments using Fashion GPS, track items removed from inventory throughout the season

Assist the VIP Director and Manager in maintaining a functioning orderly showroom

Manage upkeep of current and sample inventory records

Create the daily VIP agenda of requests

Own the creation of all media coverage reports highlighting West Coast activity– daily, monthly & event/project based.

Organize & maintain media and stylist outreach database – ensure information is up to date and accurate. Monitor for updates & distribute information to relevant internal contacts in a timely fashion

Monitor photo wire services and media to identify dressings and product placement

Oversee the organization of media library & department subscriptions for LA based outlets.

Assist with the organization & execution of West Coast press events. While responsibilities will vary based on the project, these could include: coordinate event elements, creating guests lists, distributing and keeping track of RSVPs, conducting check-in, etc.

Act as a manager and mentor to interns

Act as the main point of contact for scheduling while designer is on the West Coast, this includes managing itinerary, booking travel, transportation, scheduling appointments, etc

Assist with research or reporting related to specific initiatives

Assist with any additional administrative responsibilities as needed

Skills and Requirements:

Bachelor’s degree in Public Relations, Communications or related field required

0-2 years of experience in Public Relations/Communications or similar role

Proficient in all of Microsoft Office/Suite

Passion for Christian Louboutin and a true ambassador for the brand with strong sense of responsibility

Ideal candidate has work experience in medium sized multinational company or luxury business.

Additional language fluency is a plus
