Position Summary

The Production Associate supports the execution of the end-to-end production process for a contemporary fashion brand operating across wholesale, e-commerce, retail, and marketplace channels. This role is responsible for maintaining accurate production data, managing purchase orders, tracking production milestones, coordinating with vendors, and ensuring products are delivered on time and meet company quality and compliance standards.

The ideal candidate is highly organized, detail-oriented, and proactive, with strong analytical skills and the ability to manage multiple priorities in a fast-paced environment.

Key ResponsibilitiesProduction Coordination

  • Support the execution of seasonal production from purchase order issuance through final delivery.
  • Create, review, and process purchase orders, confirmations, and revisions throughout the production lifecycle.
  • Confirm T&A calendars with vendors and monitor adherence to production deadlines.
  • Track and communicate X-Factory dates, identifying potential delays and escalating issues when necessary.
  • Conduct regular vendor check-ins to review work-in-progress (WIP) and provide production status updates to internal teams.

Purchase Order & Costing Support

  • Manage finished goods and material purchase orders.
  • Assist with reviewing production costing for accuracy and prepare costing approvals for management review.
  • Maintain historical costing records to support consistency across seasons and future costing decisions.
  • Reconcile purchase orders, invoices, and vendor documentation in partnership with Finance.

Vendor Coordination

  • Serve as a day-to-day point of contact for vendors regarding production status.
  • Follow up with vendors on approvals, production milestones, shipping schedules, and required documentation.
  • Escalate production risks or delays.
  • Support vendor onboarding and maintain vendor information within company systems.

Quality & Compliance

  • Coordinate Top of Production (TOP) sample approvals with internal teams.
  • Track regulatory testing requirements for fabrics and finished garments.
  • Collect, organize, and maintain testing reports, certifications, and compliance documentation.
  • Assist in resolving production quality issues by coordinating communication between vendors and internal teams.

Systems & Reporting

  • Maintain accurate information in PO’s and inventory management systems.
  • Prepare production reports, vendor status updates, and shipment trackers.
  • Maintain organized historical production, costing, and vendor documentation for future reference.
  • Identify opportunities to improve reporting accuracy and production processes.

Cross-Functional Collaboration

  • Work closely with Design, Technical Design, Merchandising, Planning, Operations, and Finance to support seasonal production.
  • Coordinate production information needed for product launches across wholesale, retail, and e-commerce channels.
  • Communicate production updates and escalate issues that may impact delivery timelines.

QualificationsRequired

  • Bachelor’s degree in Fashion Merchandising, Apparel Production, Supply Chain, Operations, or a related field, or equivalent experience.
  • 2–4 years of experience in apparel production, sourcing, or production coordination.
  • Familiarity with garment production processes and apparel manufacturing.
  • Experience managing purchase orders, production trackers, and vendor communications.
  • Strong organizational skills with exceptional attention to detail.
  • Proficiency in Microsoft Excel and experience using ERP or PLM systems.
  • Excellent written and verbal communication skills.
  • Ability to manage multiple deadlines in a fast-paced environment.

Preferred

  • Experience in a contemporary fashion or apparel brand.
  • Experience supporting an omnichannel retail business.
  • Familiarity with Backbone, Asana, Airtable, or similar business systems.

Success Measures

Within the first 12 months, the Production Associate will:

  • Maintain accurate purchase orders and production records with minimal errors.
  • Support on-time production and X-Factory date compliance.
  • Ensure production milestones and vendor communications are consistently tracked.
  • Maintain organized historical costing and production documentation.
  • Coordinate timely TOP approvals and regulatory testing documentation.
  • Contribute to accurate production reporting and improved operational efficiency.
  • Build strong working relationships with internal teams and manufacturing partners.

Work Environment

  • This position works closely with Product Development, Design, Planning, Operations, Finance, and external manufacturing partners in a collaborative, fast-paced fashion environment.
